At the time of assessment, the company’s head office building is not being used efficiently. Many areas remain vacant as a large number of employees are working remotely. While some floors are partly deserted, others are overcrowded, making it necessary to develop a new concept for the use of the headquarters.

In addition to exploring future growth potential, the project also considers new ways of working, such as the New Work approach. After an in-depth user needs analysis and concept development, the management board decided to pilot New Work on one floor and to actively involve employees in the transformation process.

Employees were introduced to new working options and collaborative spaces, and trained in desk sharing as well as in the associated changes to workflows and processes. Alongside spatial modifications, special emphasis was placed on employee participation, with staff being thoroughly involved throughout.

Measures implemented for each of the four pilot phases:

  • User needs analysis
  • Information session for management
  • Workshop at the Kardham Akademie in Linden to prepare for the usage phase
  • Online surveys of participants before, during and after the pilot phase
  • Online workshops at midterm and before the end of the pilot
  • On-site support of pilot users by the project team
  • Use of sensor technology to evaluate usage behaviour
